Order Validation and Holds

Order Validation

All (or some) of the following checks are in place for order processing to ensure that all order elements are valid to ship. Order processing time within the fulfillment system can take 5 – 10 minutes.

Order Workflow Steps

Below are the order workflow steps our system processes your orders:
  1. Copied Order Check*
  2. Order contains at least one line item for shipment
  3. Order Type Setup (Club, Daily, Special, Order Packing, Corporate, or OnSite)
    • This check is where the shipment notification is assigned
  4. Cool Pack configuration
  5. Ship-To Address validation; will stop if containing a PO Box
  6. Check if the fulfillment destination warehouse has been preassigned
  7. Check if the order contains wine or non-wine
  8. Shipping Vendor License*
  9. Shipping Consumer Permit setup
  10. Address validation check – zipcode and state combination
  11. Address line items have a character limit of 30 Characters (including spaces) per line:
    • Company Name
    • Address Line 1
    • Address Line 2
    • City, State, Zip
  12. Download USPS abbreviated City and States - used by UPS/FedEx
  13. Validate Label Registration*
  14. Check compliance record/shipping channel
  15. Check if the order has personalization
  16. Carrier Validation
  17. Inventory Reservation
  18. Shipping Instructions/Notes: Orders will go on hold until cleared
    • There is a 240-character limitation to this field
    • If you use ShipCompliant, exceeding this limitation will prevent successful order transmission
  19. Requested Ship Date Hold
  20. Weather Hold
  21. Club Planning
  22. Order SLA calculations
  23. Order State Volume Verification
  24. Check if the order is auto-released

Order Failures and Troubleshooting

Orders that contain missing or unrecognized order data will fail import. Our API Tracking Tool can be used to troubleshoot. An order failure message will also be sent to the order submission system. For more details, see: API Tracker and Quarantined Orders
Character Limitations: Address lines are limited to 30 characters each, and shipping instructions are limited to 240 characters. Exceeding these limits may cause order processing issues.
